How to Download a Trademark Certificate in India: Steps and Checks

Complete the portal verification, locate the correct registered trademark record and open the certificate document where it is available.

1. Open the official status portal

Open the Registered Trade Marks and Application Status Information service on the IP India domain. Check the website address before entering contact details or verification information.

2. Complete access verification

Enter the email address or mobile number requested by the portal, complete the CAPTCHA and select the option to send an OTP. Enter the received OTP and select the verification option shown on the screen.

3. Locate the trademark record

After verification, use the application-number search available on the service. Enter the number from your filing acknowledgement or registration records and follow any additional instructions displayed by the portal.

4. Check that you have the right record

Compare the proprietor, mark, class and goods or services with your own records. Make sure the record relates to the registration you need. Do not download a similarly named mark belonging to another proprietor.

5. Open the registration certificate

Look for the registration-certificate document or link within the record. IP India’s published rules provide for a certificate of registration on Form RG-2. Portal labels or document presentation may change, so follow the current interface.

6. Save and check the file

Use the document viewer’s download option where provided. Save the file, reopen it and check that all pages are readable. Keep the original separately from any compressed, renamed or annotated working copy.

Check the certificate against the current trademark record before sharing it or relying on it for an important transaction.

A business may have separate registrations for its name, logo or different product categories. One certificate should not be presented as proof that every brand element or activity is covered. If you find an apparent error, preserve the downloaded file and use the appropriate Registry procedure rather than editing the certificate yourself.

Check the application status and document history first. A filing acknowledgement, examination report or journal publication is not the same as a registration certificate.

Do not submit a new trademark application merely because an existing certificate cannot be downloaded. If a trademark agent handled the filing, ask for the application or registration number and relevant Registry correspondence.

Start with the filing acknowledgement, payment records and correspondence from the Trade Marks Registry or your representative. The Registry’s status service also provides search options that can help locate records using available trademark details.

A business name can return several records. Compare the proprietor, mark, class and goods or services rather than relying on the first result. Once the correct record is confirmed, retain its number with your trademark records for future checks.

The ordinary registration certificate is not the document specified for legal proceedings or obtaining registration abroad. Rule 56(2) of the Trade Marks Rules, 2017 states that the certificate issued under Section 137 should be used for those purposes.

Yes. Rule 56(3) allows the registered proprietor to request a duplicate or further copy of the registration certificate using Form TM-M with the prescribed fee. 

This is different from saving another copy of an online certificate that is already available.

IP India’s current fee information lists a prescribed fee for requests including a duplicate registration certificate or certified copy. Check the latest official form and fee schedule before filing a request, because fees and procedural details can change.

Consider a hypothetical Pune clothing business with separate registrations for its brand name and logo. The owner needs the logo certificate for a commercial verification request.

• Retrieve the logo application or registration number from the acknowledgement and records.
• Open the official status portal and complete the current verification process.
• Confirm the proprietor and logo representation.
• Check the registered goods or services and current status.
• Download the available certificate and confirm that the file is readable.
• Check whether the recipient requires only the ordinary certificate or a separately certified document.

The key is selecting the correct registration and supplying the document actually requested. Having another certificate for the same business does not establish that the relevant mark or goods and services are covered.

Keep the certificate with the filing acknowledgement, relevant Registry correspondence and records of later changes. Use a clear filename containing the mark and application or registration number, maintain a backup and record when you last checked the register.

An older certificate may not reflect subsequent ownership, address or status changes. Check the current register whenever the certificate is being used for an important transaction, dispute, licensing arrangement or other formal purpose.

A registered trademark can form part of a business’s intellectual property records and may be relevant when maintaining brand assets, licensing arrangements or commercial documentation.
